Delete, Void, Disapprove, But Do NOT Cancel!

The Cancel function, which appears in the Option Menu once an EPAF is in a completed status, should NEVER be used, unless you have access to remove NBAJOBS or PEAEMPL records. Canceling an EPAF without updating the JOBS records could result in overpaying an employee.

The Cancel EPAF Option was developed by SCT to allow users to note on an EPAF when the resulting transaction was cancelled out by manual changes made to PEAEMPL and/or NBAJOBS. The Cancel option appears to be "memo" only and does not prevent information that has been entered and applied to the database from processing payments. Therefore, you should never use Cancel to update transactions.

If a transaction needs to be stopped and the EPAF status is Waiting, the Delete EPAF option may be used. If an EPAF has been submitted and has a status of Pending, an Approver or Superuser may return it for correction. After it has been returned for correction, the originator is able to change or void the EPAF. Only an originator or Superuser can void an EPAF; an approver cannot. However, an EPAF that is in a Pending status could be Disapproved by an approver, which has a similar effect as voiding it. After an EPAF is voided or disapproved, no other action can be taken with it.

So what do you do if the EPAF has a Completed status and it should not have been processed to begin with? Then you need to contact HR who will intervene to remove the records or adjust them to stop payment to the employee.
