USNH Payroll Releases the Annual Defer Pay Selection/Change Notice

April 30, 2012

Each year, academic year faculty and flex-time exempt status employees (PAT), who are in continuing status appointments (per USY HR policy V.F.10.2.2), can elect to receive their payment between the dates of their appointment (year) or to spread (defer pay) over a 12 month period (26 biweekly payments). New appointments are set up to pay between the dates of their appointment year and will continue as such until the employee elects otherwise. If the employee makes no election, payment will occur over the dates of their appointment year. Please click on this link for full details.

Changes Required for Banner HR/Finance Passwords

Alert - To insure that our institutional data in the Banner application is protected, all HR and Finance users are required to change and create strong Banner passwords in both BPRD and BTST during the period of May 1-July 22 (the change in BTST must be made upon login).

Firefox Usage and the Impact on Banner, Kronos and Famis

Firefox recently started disabling older versions of Java in order to better protect users from malware. Many of our Banner users are still on the ECG recommended version of JRE 6 Update 26. If Banner users are trying to use Firefox with the Update 26 version, Banner will not work for them.

ECG does not officially support the use of Banner with Firefox because both Oracle and the Banner vendor have not certified it. None the less, we are aware some users may prefer to use Firefox. For these users, ECG recommends they update to JRE 6 Update 31. They can accomplish this by going to the Java applet in the Windows Control Panel and use the built in update mechanism:

For Kronos and Famis users, these applications will not work with JRE versions higher than Update 17. For these users, their only option is to use Internet Explorer.

New Earn Codes for Taxable Fringe Benefits

New earn codes have been added to accommodate the health related taxable incentives. These codes should not be used until calendar year 2012. Be sure to review the New Earn Code announcement for specific information.

December Payroll Processing Information

The USNH Payroll Office recently emailed some important processing information for December 2011. Be sure to review the 2011 December notice and the 2011 Winter Check Stuffer information.

Revised PPAIDEN Busines Practice for Coding Employees without an SSN.

Previously our business practice for PPAIDEN coding of SSN’s for employees who could not provide an SSN was to enter the employees USNH ID in the SSN field.

Beginning on December 1st, 2011 we will no longer be coding the USNH ID in the SSN field for employees who cannot provide an SSN.  Instead please code all 00’s [000000000] in the SSN field.  Since the 000000000 will be used multiple times, you will encounter the warning message *WARNING* SSN/SIN/TIN already assigned to another record.  You can click OK to continue and Save the record.

Electronic W-2s

The USNH Payroll Office is excited to offer Electronic W2s [E-W2s] to USNH employees!

This feature provides one more step towards the USNH and campus sustainability goals. Again this year, USNH Payroll will be communicating this option to employees through the Payroll check/direct deposit text box and via an FYI through the HR web sites. You are encouraged to share this information with your employees so that they are aware of this ability to receive their forms electronically. This choice is beneficial to them as they will have access to the form via WISE as soon as the data is made available, it is safe, offers a “green” solution, and is economical for USNH budgets.

Campus Email Addresses

In Banner HR, Campus E-mail addresses are now being updated via feeds from the various campus email systems. The exception is KSC, who will continue to update the Campus E-mail addresses thru Banner HR. This means that the Campus e-mail addresses are no longer updated thru WISE or thru the Campus HR offices (except KSC). Employees wishing to update their Campus E-Mail addresses should now contact the appropriate office listed below. Note: This does not include Campus mailing addresses, only E-mail addresses.

Social Security Number – Randomization

Social Security Administration (SSA) is randomizing the way that Social Security Numbers (SSN) are issued to individuals.  The new SSN randomization method went into effect on June 25, 2011.  This change was made to protect the integrity of the SSN and in order to extend the longevity of the 9-digit SSN nationwide. SSN randomization eliminates the geographical significance of the first 3 digits of the SSN such that the numbers will no longer assign individuals to specific states and utilizes area numbers that were previously unassigned. Areas 000, 666, 900-999 will continue to be excluded. Be sure to review the SSN Randomization document for more detailed information.

Hourly Employees - NH Department of Labor RSA:275:43

Important notice to Campus Managers and Supervisors.

It is an important responsibility of managers and supervisors to ensure that our employees are paid correctly based on the hours they work, and that we are managing and supervising in compliance with Federal and State Department of Labor regulations and USNH Policy. These regulations, policies and guidelines exist to protect our employees and USNH.  Many of these regulations and policies are common and well known.

One state regulation that may not be as well-known is the NH Department of Labor’s RSA: 275:43-a. This regulation requires that an employee who reports to work must be paid for not less than 2 hours at his/her regular pay rate. Please review the USNH Hourly Employees - NH Department of Labor RSA:275:43 document for important information.

Each year it is our practice to send out a reminder to all Banner HR users to be especially careful with the access, review and disposition of sensitive employee information which includes, but is not limited to data about birth date, annual or hourly salary, benefits, and social security numbers.
